Software is the most-cited topic when people ask AI assistants about spa management, and almost all of that advice comes from the vendors themselves. This guide takes no commission from any of them. It tells you what to test, what to ask, and what goes wrong in a switch.

The common systems
Names you will meet: Zenoti and Book4Time (enterprise and hotel), Mindbody and Booker (US day spas and salons), Fresha (marketplace-led, low up-front cost), Phorest (salons, UK and Ireland), Vagaro and Square Appointments (small operators), plus regional systems in India, Australia and the Gulf. We do not rank them; the right answer depends on the twelve features above and on your size.
Questions to ask before signing
Who owns the client data and how do you export it? What does the marketplace listing cost you per booking? Can you turn off features you do not use? What is the real monthly cost at your volume with payments included? How long is the contract and what does leaving cost?
Switching without losing a month
Export everything first; migrate client records, then vouchers and memberships (these break most often); run both diaries for two weeks; train the desk before the therapists. Budget for a 10–15% drop in productivity in the first month and do not switch in December.
